Duties of the Administrative Assistant include providing administrative and clerical support to our site supervisors and employees, assisting in daily office needs and managing our agency’s general administrative activities. Job Activities are including but not limited to:
- Typing, editing, copying, faxing.
- Mailing.
- Establish and maintain client files.
- Maintain and update clinical paperwork.
- Ensure that current documents and forms are available for staff.
- Maintain client paperwork logs and notebooks.
- Maintain a system for identifying incomplete or absent paperwork in client files and notifying therapists about paperwork that needs to be completed or submitted.
- Maintain a system for providing information to supervisors regarding incomplete or missing paperwork for each client file.
- Maintain intake referral logs.
- Complete administrative paperwork required for client files.
- Collect and process client and referent feedback surveys.
- Conduct follow-up phone calls to gather client feedback, as necessary.
- Provide administrative support for hiring procedures.
- Be available to staff for “checking in,” consulting on non-clinical issues, and coordinating schedules for staff to consult with supervisor, as site guidelines require.
- Complete, create and revise clinical and agency documents.
- Complete and process billing documents to DCYF, or other funding sources as program guidelines require.
- Respond to requests from federal/state offices and submit related billing reports (SSI, Attorney General, etc.)
- Submit necessary information to data manager.
- Generate and send notices to funding sources regarding late payments, as directed by accounts receivable.
- Run, reconcile and submit staff expense reports
- Maintain personnel files of the site/team staff
- Ensure adequate office supplies are on hand and re-order supplies as needed
Requirements
- Commitment to the vision, values and mission of the agency.
- Maintain client confidentiality
- Excellent oral and written communication skills
- Ability to work with diverse individuals.
- Ability to work within a team.
- High school diploma or GED.
- Ability to use office equipment, including copy machines, typewriters, fax, postage meters, etc.
- Word processing skills.
- Type 60 wpm.
- Familiarity using Word, Excel, e-mail and internet.
- Strong organizational skills with the ability to multi-task
