About AIHA PAT Programs
The primary mission of AIHA PAT Programs is to assist participants in pursuing excellence in laboratory services through external quality control program assessment and to promote the practice of proficiency testing both nationally and internationally. Our programs allow an organization to demonstrate the ability to correctly analyze samples of common workplace and environmental contaminants.

AIHA PAT Programs offers renowned proficiency testing to serve those laboratories. AIHA PAT Programs also provides participants an opportunity to improve and refine the analytical skills for their staff, test new methods, or train analysts.

About the Role
The Program Specialist is responsible for assisting in the administration of PAT Programs. Program Specialist reports to the Technical and Quality Manager, AIHA PAT Programs, and will assist in the administration of the Environmental Microbiology Proficiency Analytical Testing (EMPAT) program, quality system maintenance, and offer general program support in compliance with ISO/IEC Standard 17043. This position works closely with the Director of Operations, AIHA PAT and Registry Programs, the Senior Manager of Operations, AIHA Affiliate Laboratory Programs and other team members to ensure that PAT programs are administered in compliance with relevant internal, international and national program requirements.
Essential Duties and Responsibilities
  • EMPAT Program
    • Prepares EMPAT Culture shipments for regular and retest rounds
    • Monitors and tracks shipment of EMPAT culture samples
    • Inventories, receives, and organizes EMPAT culture samples in the PAT Annex
    • Generates weekly air samples for the EMPAT Direct Exam Program
    • Assists with sample selection and data organization of the EMPAT Direct Exam Program
  • Marketing and Outreach
    • Generates social media content and reviews social media material provided by AIHA Marketing
    • Participates in marketing campaign discussions and outreach
    • Reviews website content on a quarterly basis and makes updates as needed
  • Participant Management
    • Responds promptly and professionally to routine questions, inquiries, and complaints from program participants
    • Responds to program and policy-related questions and inquiries from participants, customers, and outside parties
    • Assists with participant login issues
    • Updates organizational contacts
    • Sends Retest Invitation emails based on round status
  • Program Support
    • Servers as a deputy for document management, issue tracker, corrective action and risk assessment processes, action items, and program blast emails
    • Sends participant round data to vendor for inclusion in final report
    • Monitors PAT Board data review process
    • Performs quality control check of participant reports prior to post
  • Quality Systems
    • Participates in continuous improvement activities
    • Creates, updates, or reviews written instructions for duties and responsibilities
  • Management of the PAT Annex
    • Inventories and organizes the PAT Annex
    • Maintains necessary kit, pack, and shipping supply inventory

Education & Experience
  • An equivalent combination of education and experience will be considered.
  • Requirements
    • Bacherlor’s Degree (or coursework equivalent),
    • Associate’s degree (or coursework equivalent), and work experience.
    • Demonstrate excellent verbal and written communication skills
    • Experience working in a laboratory or office setting
    • Project Management experience
    • Experience with various office programs (Microsoft Word, Excel, PowerPoint, Database Management, etc.)

Travel is not required for this position.

Residency Requirement
Based on our business set-up and to maximize remote work opportunities, AIHA only employs individuals who live in Washington, DC, Maryland, or Virginia. To be considered a candidate must live in, or be willing to relocate to, Washington, DC, Maryland, or Virginia.

Vaccine Requirement
AIHA requires all members of staff to be fully vaccinated from COVID-19 and present proof of vaccination status. Requests for exemptions from this requirement due to a medical condition or sincerely-held religious belief or practice will be considered. AIHA follows the CDC’s definition of “fully vaccinated.”

Salary & Benefits
The pay for this position ranges from $40k to $50k based on experience and qualifications for the role.
