Responsibilities:

Timesheets:

  • Print various forms of timesheets from Supervisors: e-mail or Timekeeping Database
  • Validate against Client System gatelog and Schultz Sign In documents.
  • Receive Onboarding Timesheets either from the employee (new form) or from the Site HR folder
  • Client System Entry ? Allocate validated hours and per diem based on timesheet coding ? Process override requests for Client approval, includes reimbursable onboarding.
  • Monitor pending override submittals ? Allocate overrides once processed
  • Review Not Allocated and Not Accepted reports and process accordingly.
  • Process Rejected Allocations when received, including working with Client and Management to resolve ? Payroll (CMiC) Entry
  • Enter payroll hours and expenses according to coding on validated timesheets.
  • Reconciliations
  • Daily Comparison Reports and / Daily Recons
  • Review system data and make corrections as necessary
  • Weekly Recon reports
  • Review Weekly Recon report from Office Manager and provide notes on items pending completion or with discrepancies ? Process any required corrections
  • Check Corrections
  • Review any Check Correction inquiries and process in both systems accordingly
  • Notify employee / supervisor of results, including processing check request if funds are owed to the employee
  • Separations:  Print COR from Timekeeping Database and provide to supervisor / site manager for completion
  • Enter any final payroll hours and expenses owed to the employee and validate all hours and expenses owed to the employee are entered in CMiC before separation is processed ? Complete Manual Check Request when funds are owed to employee at time of separation.
  • Send Completed COR and Manual check request to Payroll Communications, SchultzHR and ContactHR
Qualifications:
  • High School Diploma or possession of a GED
  • Refinery experience preferred
  • Intermediate to advanced computer literacy in Microsoft Excel and Accounting software ? Billing experience preferred ? Timekeeping experience preferred
  • Ability to work well with others under deadline driven situations and respond to changes in priorities
  • Strong written and verbal communication skills with excellent organizational skills
  • Ability to work independently, take initiative, set priorities, and see projects through to completion
  • Employ problem-solving skills and analysis, report roadblocks to the Field Finance Manager as needed
