Job Summary:

At Shine Facility Services, we thrive when our people thrive. The Executive Assistant is a supportive force who empowers the CEO and senior leadership of the company. The ideal candidate will be a proactive problem solver with exceptional communication skills and meticulous attention for details. This person should have experience in working in a remote office setting, performing administrative duties, and providing primary support to the CEO. The Executive Assistant needs to be flexible and consistent while maintaining the confidentiality of high-level systems and operations. This position reports to the CEO.

A Day in the Life:
  • Support the CEO primarily and provide additional support in the areas of proposal management and client communication
  • Manage professional scheduling for  CEO, including agendas, mail, email, phone calls, and other company logistics
  • Customer communication and follow through
  • Proposal generation and service agreement management
  • Management of company and accounting email inbox
  • Ensure all corporate card receipts are uploaded into the system
  • Vendor and receipt management
  • Assist sales in the area of administrative work
What we need from you:
  • High school diploma required; Bachelor’s degree in Business Administration or related field preferred
  • Four or more years of experience in an administrative role reporting directly to upper management
  • Experience in working in a remote office setting
  • Ability to work in the Pacific time zone
  • Excellent verbal and written communication skills
  • Experience in working with customer communication with follow through
  • Strong-time management skills and an ability to organize and coordinate multiple concurrent projects
  • Extremely proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software (Adobe, Dropbox, Monday.com, CRM, etc.)
  • Flexible team player, willing to adapt to changes and unafraid of new challenges
  • Ability to maintain confidentiality of information related to the company and its employees
  • Ability to ask questions and pay attention to detail
  • Strong work ethic and professionalism with the ability to take initiative
Compensation Range:  $60 - $65K DOE
