This is a full time position that will work in the Gifts in Kindness program and the HOTBHN Day Habilitation program. The primary job duties entail assistance in maintaining the inventory for the Gifts in Kindness program; including pick up and logging in of all donated goods, as well as filling all consumers GIK requests on a weekly basis. Maintaining all records in compliance to both Heart of Texas Behavioral Health Network and Caritas program. The person in this position will provide administrative support including collecting and entering data, completing a variety of requisitions for the department and assuring accuracy in billing received from private providers as well as creating billing invoices in a timely manner. The person in this position will also manage company vehicles and ordering supplies for the departments. Must work cooperatively and effectively with other center staff/professional; to exercise professionalism, initiative, and good judgement.
EXAMPLES OF WORK PERFORMED:
- Procures, records, and organizes products for Gifts in Kindness program;
- Maintains inventory of Gifts in Kindness program;
- Fulfills orders for consumers on a routine basis;
- Communicates with staff in a timely manner concerning GIK request for consumers;
- Prepares weekly reports of Gifts in Kindness inventory;
- Participates in Caritas audits;
- Provides administrative support including collecting data forms, entering data, ordering supplies, photo coping and emailing;
- Prepares spreadsheets and documents for billing;
- Completes data entry for billing;
- Manages company vehicles for department;
- Other duties as assigned.
Knowledge, Skills, and Essential Functions
- Excellent written and verbal communication with clients, employees, and external agencies
- Excellent computer skills and knowledge of Microsoft Office, Outlook, and fax/scan/copy.
- Prepares vouchers and purchase orders for supplies, for case workers, etc.
- Must display excellent organizational skills and time management
- 90% local travel and 10% Regional travel
- Stooping, bending, sitting, standing, keyboarding for prolonged periods and lifting 50 pounds
- Ability to be PMAB and CPR certified
- Intermediate knowledge of MS Excel and ability export reports to excel
- Valid driver's license, liability insurance, and reliable transportation required
- High school diploma or GED
- 1 year of administrative and clerical experience is Required
- I year IDD experience Preferred
Hours: 8AM-5PM M-F
Salary: $28,600 Annual/$13.7500 hourly
