Position Title: Contracts Assistant             
Reports To: Contracts Manager

Position Summary:  
The Contracts Assistant will provide administrative support to the Contracts Department. This support will include answering calls and correspondence, filing and organizing documents, coordinating with different departments, preparing and processing files, as well as data entry. This position may also require reviewing contract documents, preparing financial reports, and assisting with planning.

Essential Duties & Responsibilities:
  • Prepare contract documents
  • Set up meetings for the Contracts Manager
  • Communicate with Contractors and maintain contract files
  • Responds to and resolves administrative inquiries and questions.
  • Performs other related duties as assigned

Qualification/ Requirements:
  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer service skills.
  • Proficient in Microsoft Office Suite or related software.
  • Excellent organizational skills and attention to detail.
  • Basic understanding of clerical procedures and systems such as recordkeeping and filing.
  • Ability to work independently.

Education/Training:
  • Associates degree required; Bachelors degree in related field preferred.
  • Three to five years of experience in an administrative role preferred.

Physical Requirements:
  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.

Additional Information:
  • Must show proof of your legal right to work in the United States
  • This position requires US Citizenship due to clearance required for base access
  • Must be able to successfully obtain a Transportation Worker Identification Credential (TWIC)
  • Must be able to successfully obtain a Defense Biometric Identification System (DBIDS) Credential to gain access to federally controlled work sites
  • All candidates must submit to and pass a post-offer drug screening and a background check before employment begins. Failure to complete any of these steps will result in disqualification
  • Valid State of Hawaii drivers’ license in good standing, class 3 or higher
  • Candidates must have access to reliable transportation to get to work and other job sites on time for the start of shift
