We are seeking a Purchasing Assistant to join our team! The Purchasing Assistant is responsible for assisting the Purchasing team with purchase orders as well as the supplier interface. This position will assist with data entry, placing orders and following up with outside
vendors to meet required deadlines.

Responsibilities:
  • Follows up with PO’s for order confirmation and arrival date.
  • Calls vendors for product information, pricing, availability, lead time, returns.
  • Confers with suppliers to obtain products or service information such as price.
  • Verifies invoices for payment and checks/resolves discrepancy (i.e. resolves quality, delivery, materials returns, and payment issues with suppliers) as needed.
  • Advices product information and/or order status to other departments as needed.
  • Identifies, solicits, and monitors status of purchasing orders and request for quotes.
  • Refers issues to appropriate manager, and prepares reports/documentation as required.
  • Accurately performs administrative tasks such as product pricing, cost files, follow up on PO’s, update vendor file information, enters quotations in system, and organizes/files documentation as needed.
  • Gathers document needed such as CofA, specification and MSDS sheet.
  • Follows and adheres to the Standard Operating Procedures (SOP’s), Good Manufacturing
  • Practices (cGMP’s), Standard Safety Practices, and all company policies/procedures.
  • Completes other projects and duties as assigned by management.

Qualifications:

  • 6 months – 1 year of work experience in an office environment.
  • Communication Skills (Oral/Written) - able to speak clearly, concisely and accurately in order to ensure effective department operations. Bilingual Vietnamese (conversational)/English language is a plus.
  • Computer Skills - Intermediate level MS Office: Word, Excel, Outlook.
  • Detail Oriented - pays close attention to detail, accuracy and completeness, double checking their work.
  • Honesty/ Integrity - follow through with company values and providing exceptional quality products.
  • Planning/Organizational Skills - ability to create and use logic, and systematic process to achieve goals.
