The Executive Assistant will be responsible for verifying and posting transactions to invoices and vouchers and may handle balancing and reconciliations. They will assist in performing specific functions to support the department (e.g., routing materials for signatures, preparing reports, creating and modifying basic charts). This position will require working with vendors and auditing vendor invoices.

Responsibilities:
  • Compiles and sorts documents, such as invoices and checks, substantiating business transactions.
  • Reconciles report discrepancies and problems.
  • Reviews, balances, and interprets computer reports, and makes corrections.
  • Assists employees, vendors, clients, or customers by answering questions related to accounts, procedures, and services.
  • Organizes and maintains file system, and files correspondence, data, and other records.
  • Coordinates and arranges meetings, prepares agendas, reserves and prepares facilities, and records and transcribes minutes of meetings.
  • Liaison between production and research team solve open issues and communicate delays
  • Catalog and archive all existing, new work orders, components, etc. for easy access & file maintenance
  • Provide clerical and secretarial support services for the assigned person(s)
  • Compose and/or edit letters, memos, reports, procedures, etc. as required
  • Coordinates and maintains tenant and vendor lists for all properties
  • Assists the team with special projects as needed.
  • May receive and process information of a confidential nature; ensures such information is maintained in strict confidentiality.
  • Performs other job related duties as required or assigned
Qualifications:
  • Bachelor's Degree
  • Good verbal and written communication, bilingual in Vietnamese/English is a plus!
  • 2+ years in an administrative role/or equivalent combination of education and experience. In addition, 2+ years of project coordination/general accounting.
  • Communication – (Bilingual in English/Vietnamese) able to speak clearly, concisely, and accurately to ensure adequate department operations.
  • Computer Skills (Intermediate) – MS Office: Word, Excel, Outlook, and Internet.
  • Ability to work independently and in a team environment
  • Ability to edit and proof documents
  • Demonstrate ability to follow instructions
  • Demonstrate good attendance and punctuality
  • Highly organized and detail oriented with ability to work well under pressure
  • Ability to prioritize work and multi-task
  • Professional writing experience preferred
