The Quotation Specialist applies a comprehensive working knowledge of the quotation process, practices, procedures, and support concepts. This position will require the ability to coach and train team me, as well as collaborate with cross-functional departments to provide accurate quotations in a timely manner. Including responsibility for the overall development of the quotation process, to provide quality customer service and satisfaction.
•Update and develop new procedures for the workflow.
•Continuous process improvement of quotation process.
•Customize and assist with programming the ERP system to effectively improve the turnaround time of a quotation.
•Develop SOP’s and training documents encompassing said process.
•A liaison between Sales/CS and all other departments is included in the process to communicate the status of quotations.
•Gives technical support/recommendations/advice on formulations for Sales.
•Gives process support/advice for advancing quotations to purchase orders.
•A liaison between Procurement/Purchasing and Research & Development for sourcing new raw materials and increasing communication for Sales.
•Facilitate and follow up with procurement on sourcing items to expedite a timeline.
•Aid forecasting and prioritization with Sales based on volume and probability of PO.
•Generate reports summarizing quotation status and conversion rate.
•Facilitate clerical revisions.
•Enter quotation and formulation requests.
•Adhering to company policy regarding attendance, conduct, performance, quality, safety and teamwork.
•Ability to work independently, as well as in a group setting.
•Ability to set priorities and multi-task.
•Demonstrate good attendance and punctuality.
•Possesses excellent verbal and written communication skills.
Qualifications:
- Bachelor's degree in business, accounting and/or related experience is required.
- Minimum of 2-4 years of related work experience.
- Background ability to formulate on paper from Research and Development standpoint, as well as a full understanding of the quotation process as-is.
- Knowledge and/or capability of assisting all departments within the process to ensure efficiency without sacrificing accuracy.
- Above basic knowledge of all computer technologies associated with the position, such as:
-Microsoft Office: Word, Excel, PowerPoint and Outlook.
-ERP systems - Communication Skills (Oral/Written) - able to speak clearly, concisely and accurately in order to ensure effective department operations.
- Detail Oriented - pays close attention to detail, accuracy and completeness, double checking their work.
- Honesty/ Integrity - follow through with company values and providing exceptional quality products.
- Planning/Organizational Skills - ability to create and use logic, and systematic process to achieve goals.
