Job Summary/Essential Functions:
Recruiting Offices follow strict federal, departmental, and organization guidelines for military accessions with the focus of reducing the Recruiting Office administrative burden. These functions include, but are not limited to:

  • Completing, routing, tracking, and reporting status of Local Marketing Support Forms and approvals
  • Processing, tracking and reporting status of candidate’s background investigations per references including but not limited to I-9, Employment Eligibility Verification forms, and the electronic questionnaires for investigation process (eQIP) process
  • Scheduling the Armed Services Vocational Aptitude Battery (ASVAB) testing and MEPS appointments
  • Booking travel arrangements for candidates per policy
  • Drafting, submitting, tracking, and reporting status of waiver packages
  • Managing Microsoft Outlook calendars
  • Managing / monitoring Outlook distribution groups and shared mailboxes
  • Developing, updating, and maintaining the Recruiting Office Microsoft TEAMS site(s) under guidance of the RIC
  • Sharing documents on Microsoft TEAMS
  • Organizing files on Microsoft TEAMS
  • Operating and reporting information from current lead management/accession software solution (Gangway)
  • case files and folders that have multiple documents;
  • Remove all non-scannable objects (e.g., staples, paperclips or other binding mechanism);
  • Photocopy paper documents which are too light/dark, thin (onion skin paper), badly wrinkled or otherwise not able to pass through the scanner; and
  • Tape torn or tattered paper documents to allow proper scanning
  • Perform high speed scanning
  • Automated quality analysis (image rotation/de-speckling)
  • Full page Optical Character Recognition (OCR)
  • File naming, data extraction
  • Upload searchable PDF to document management system
  • Scanned files to be uploaded to Trade Doc application
  • Key field captured
  • Trigram analysis
  • Double key entry

 
Education/Experience:

  • Education: Associates Degree minimum 
  • Experience:   3 years of Administrative Assistance experience clerical, administrative skills with exceptional organizational skills 

Qualifications/Skills:

  • Qualification:  Ability to obtain and maintain a security clearance.
  • Skills:  Expertise utilizing the Microsoft Office (Word, Powerpoint, Excel, Access).
