The Administrative / General Clerk II provides administrative, clerical, records, and operational support across Agency operational units, including District Operations, Refugee Operations, International Operations, and Parole Operations.
These positions perform a wide range of unclassified administrative and records-related tasks in support of Agency mission requirements. Work assignments and priorities are established by the Agency through the designated Technical Point of Contact (TPOC) and may shift based on operational needs.

KEY RESPONSIBILITIES:
General Administrative & Operational Support
- Manage assigned workload in a streamlined, accurate, and equitable manner in accordance with Agency priorities.
- Follow approved records procedures and desktop processes aligned with the Records Policy Manual (RPM) and local Standard Operating Procedures (SOPs).
- Adjust work priorities based on guidance from the Agency TPOC and documented operational shifts.
- Maintain compliance with all Agency policies, manuals, handbooks, and procedural guidance.
- Participate in Agency-provided training related to records systems, SOPs, and records policies.
- Draft SOPs and document procedures for Government review and approval when gaps in existing guidance are identified.
- Ensure accurate data entry, record integrity, and timely task completion.
- Receive, log, sort, distribute, and prepare unclassified mail and correspondence.
- Deliver mail to designated locations within required timeframes.
- Scan, log, interfile, and route correspondence and documents per policy.
- Prepare files for transfer, shipment, storage, or retirement.
- Enter, update, and track files in Agency record systems.
- Create, maintain, consolidate, and store physical and electronic files.
- Conduct routine file audits, reconciliations, and missing file searches.
- Support record retention, disposition, and inventory reporting requirements.
- Assist with mobile audit teams and records projects as directed.
- Assist with expenditure tracking, spend plan updates, and variance reporting.
- Support payroll and general expense analysis.
- Assist with budget execution tracking and reallocation documentation.
- Support annual and periodic budget planning activities.
- Track mandatory training requirements and completion status.
- Assist with training requests, registrations, and funding documentation.
- Maintain training records, reports, and tracking tools.
- Support development and maintenance of training-related resources and documentation.
- Assist with equipment inventories and accountability.
- Maintain and update equipment hand receipts and asset tracking systems.
- Support audits and reporting related to issued equipment.
- Assist with TDY and overseas rotation planning support.
- Track staff rotation schedules and related logistical requirements.
- Support cost, execution, and budget analysis related to international assignments.
EDUCATION AND EXPERIENCE:
Education: High School Diploma or GED (required)
Experience:
- General Clerk II: 1-3 years of clerical, administrative, or records support experience.
- General Clerk III: 3-5 years of clerical, administrative, or records support experience.
- Experience supporting a federal agency or government contractor is preferred.
- Experience handling sensitive information and working in secure environments.
- Must successfully complete a background investigation to determine suitability.
- Must sign and adhere to nondisclosure and confidentiality agreement.
SKILLS AND QUALIFICATIONS:
- Strong organizational and attention-to-detail skills
- Ability to manage high volumes of mail, files, and administrative tasks accurately
- Proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint, Teams)
- Ability to learn and use government systems and databases
- Effective written and verbal communication skills
- Ability to work independently and as part of a team
- Ability to follow detailed procedures and meet strict deadlines
