Pay: $31-$35 per hour
The Administrative Assistant provides essential administrative and operational support to divisional staff through timekeeping, travel coordination, meeting scheduling, and records management. This role serves as the division’s timekeeper and primary administrative support resource, ensuring accurate time and attendance tracking, efficient travel coordination, and compliance with established policies and procedures. The ideal candidate is highly organized, detail-oriented, and experienced in administrative operations within a structured environment.
KEY RESPONSIBILITIES:

EDUCATION AND EXPERIENCE:
Education: High School Diploma or equivalent.
Experience: Minimum of two (2) years of administrative or office support experience. Experience in travel coordination and timekeeping/payroll support in a government operational setting is preferred.

KEY RESPONSIBILITIES:
Timekeeping & Payroll Support
- Serve as the divisional timekeeper responsible for entering, maintaining, and editing employee time and attendance records in the automated payroll system.
- Ensure all account numbers and labor charges are accurate.
- Maintain a high level of accuracy and compliance with payroll policies and procedures.
- Coordinate travel arrangements for divisional staff, ensuring all travel needs are met.
- Prepare travel authorizations, vouchers, and required approvals in accordance with established standards and policies.
- Provide detailed travel itineraries to travelers.
- Examine travel vouchers for accuracy and route documents for appropriate approvals.
- Establish and maintain travel tracking spreadsheets.
- Reconcile monthly travel card statements.
- Coordinate and schedule divisional meetings, including calendar management and logistical arrangements.
- Route documents for review and approval.
- Maintain professional communications with internal stakeholders and staff.
- Provide general administrative and clerical support as needed to support divisional operations.
- Perform ancillary administrative services related to assigned duties.

- Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Strong computer and data entry skills.
- Experience maintaining accurate records and performing detailed administrative tasks.
- Excellent written and verbal communication skills.
- Strong problem-solving and conflict resolution abilities.
- High level of attention to detail and organizational skills.
- Ability to manage multiple priorities and maintain accuracy in a fast-paced environment.
- Must be a U.S. Citizen.
- Must be able to successfully pass and maintain a background investigation.
